This privacy policy explains what personal data we collect, how we collect and process it as well as how we protect your personal data.

The type of personal information we collect

We currently collect and process the following information:

  • Full name
  • Date of birth
  • Contact details (including telephone number, email address and postal address)

How we collect personal information

Most of the personal information we process is provided to us directly by you and we use the information that you have given us for one (or more) of the following reasons:

  • Internal record keeping
  • Contacting you via email, telephone or SMS
  • To comply with legal and contractual obligations
  • To maintain our business relationship
  • To answer your enquiries
  • We may also release personal information to regulatory or law enforcement agencies, if they require us to do so. We will also disclose your information where we are permitted to do so by law

We may share personal information with councils/local authorities where data is transferred to and stored by the council/local authority.

Please note: The processing of personal data with any trusted third parties is necessary in order for us to provide our services. These third parties will only have access to your personal data if required by them to perform their functions and they are not permitted to use any personal data for any other purposes.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • We have a legal obligation

How we store your personal information

Your information may be stored manually or electronically. Any data stored electronically will be stored on secure servers with the appropriate security measures in place (i.e. encryption and multifactor authentication). Any data stored manually will be stored in our secure premises based in the UK.

Retaining your data

We will only retain your data for as long as we need it to fulfil our purposes, including any relating to legal, accounting, or reporting requirements.

Where we have obtained your consent to process your personal data, we will retain your data for 3 years (unless the above purposes specify different retention periods, in which case we will comply with those standards).

Once the appropriate retention period has expired or consent is not granted, we will cease to process your personal data and it will be securely deleted from all data repositories including email, document libraries, data backups, etc.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
  • Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
  • Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
  • Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
